Job Advert    We are seeking to employ a Personal Assistant that will work with two CEO’s across two different brands within Speciality.

The successful individual needs to be efficient, with a high energy level and a compelling sense of urgency, to provide key administrative/office support to the CEOs for Dunns and Refinery.

Our ideal candidate will be highly organized, able to multi-task and to effectively manage and organize the responsibilities required for this role.

Qualifications  
  • A minimum of 5 years previous experience in a similar role is an essential requirement.
• A relevant qualification e.g. secretarial/ personal assistant/ office administration would be beneficial.

Knowledge, Skills and Experience   
  • Previous experience and sound knowledge in managing a Director’s diary is an important requirement.
• Excellent verbal and written communication skills English.
• Proficiency in all the latest Microsoft packages (Word, Excel, and Power Point & Outlook).
• Basic numerical skills, together with the ability to complete numerical reports/budgets accurately (as and when required).
• Must be able to present themselves and the company in a professional manner.
• A strong service orientation and excellent relationship-building and networking skills.
• Communicate effectively at all levels both within, as well as outside the company.
• Remain flexible, function under pressure and maintain a positive attitude and work performance in a variety of circumstances.
• Excellent time management, planning, organizing and coordinating skills.
• A strong “sense of urgency” with regard to everything they do.
• Self-motivated, take responsibility and have a sense of pride in their work.
• Be accurate, attention to detail and reliable in meeting set deadlines.
• Consistently deal with telephone calls, requests and interruptions with the highest degree of efficiency and professionalism.
• Manage confidential information with utmost discretion.

Key Responsibilities    
• Diary Management for various role players within the Brands.
• Coordination of functions/meetings and events for the Merchandise department.
• Assist with setting up and managing the Merchandise department’s critical path.
• Travel Arrangements - full accountability for all local and international travel arrangements required by the department; Communicate and distribute documentation to travellers.
• Reconciliation of expenses relating to travelling, car hire, accommodation, forex, and all other administration relating to travel coordination.
• Compiling and distributing reports and/or presentations.
• Providing a comprehensive administrative/office support service to the Merchandise department.
